Questions you should be asking.

What does "you'll never pay more than the next tier" actually mean?

If your total monthly bill on your current plan would exceed what you'd pay on the next tier — subscription plus fees, calculated at the next tier's rate — we automatically apply the next tier's pricing. You always pay the cheaper of the two.

Concrete example: a Launch venue is on £99 + 2% on prepayments. High prepayment volume pushes their monthly bill to £300 (£99 subscription + £201 in fees). On Standard, the same volume would cost £279 (£179 subscription + £100 at 1%). We charge them £279, not £300. Outgrowing your plan never costs more than the next tier would have cost.

What counts as a "visit" for billing?

A visit is one identifiable guest at your venue. Anyone Grace can recognise — through a booking, a WiFi login, a loyalty check-in, or a card transaction matched to a known guest — counts as one visit, however many of those touchpoints they hit on the same evening.

Anonymous walk-ins who don't share any details don't count toward your limit. A two-person walk-in with no WiFi, no loyalty, no card-match: zero visits. A booking by Guest A whose bill is split with Guest B (a loyalty member): two visits. A guest who books and then logs into WiFi: still one visit, not two — same guest, recognised twice.

This is intentional. You're paying Grace to make guests identifiable. We don't count strangers.

What happens when I exceed my plan's capacity?

We'll get in touch when you're consistently approaching the limit, and offer the next tier up. Grace won't surprise-bill you, and we won't lock features mid-month. If you're a borderline case, we'll usually wait a couple of months before suggesting an upgrade.

What does Grace charge fees on?

Only on prepayments — deposits, cancellation fees, online prepaid bookings. The fee covers Grace's role in taking the prepayment.

Grace charges nothing on in-venue card payments. Card processing fees from your payment provider (Teya or whoever you use) apply separately — Grace doesn't take a cut of those.

Can I switch tiers any time?

Yes. Upgrade or downgrade with one click. Annual billing pro-rates the difference. No fee, no friction.

Is there a contract lock-in?

No. Monthly plans cancel any time. Annual plans cancel at the end of the term. No "your contract auto-renewed for 24 months" surprises — that pattern doesn't belong in independent hospitality.

What does the free trial actually include?

Every module, every feature, every plan tier — no limits. 14 days, no card on file. You get a 30-minute demo with the founder before you start (if you want one), self-service or guided data import from your existing system, and real onboarding support. If Grace isn't the right fit at the end, we help you export your data.

How does data import work?

Honestly — it depends. Every venue's existing setup is different, and what's possible depends on what system you're moving from. Some imports are clean CSV exports; others need us to extract from less helpful places.

What's usually possible: guests, reservations, menu items, loyalty members, gift cards. Sometimes possible: historical bookings, visit history, marketing performance data. Highly system-dependent: detailed POS-level sales history.

Higher tiers include more hands-on import support — self-service on Launch, a guided session on Standard, white-glove on Scale, ongoing migration help on Enterprise. But the best answer is: show us what you've got during your demo or onboarding session, and we'll tell you exactly what's possible. We'd rather you ask early than discover a gap later.

What can I export? Who owns my data?

You own your data. Always. The venue is the data controller; Grace is the processor. Your guest records, reservations, sales history, marketing performance, loyalty data — it's all yours.

You can export everything at any time, in standard CSV or JSON formats, directly from the app. No support ticket needed. If you ever leave Grace, we help you take your data with you — we don't hold it hostage to make you stay.

This isn't a perk. It's how independent hospitality software should work.

Why is annual cheaper than monthly?

Annual billing reduces churn and admin overhead, so we pass the saving back as a flat 15% off across all tiers. Pay annually, save nearly two months per venue per year.
